Location Detail
Choose a location from the list, or add one — its scheduling fields are edited here in a clean vertical workspace.
Review state and city coverage from the store locator, linked markets, and manager assignments.
Coverage by state & market. Territories are geographic — open a state to assign a territory or regional manager. Stores inherit their manager by where they sit. Distributor rollups follow location/chain links, not geography, so they aren't shown here.
The bar shows how much of a state is switched on for sampling. Whether a manager owns it is the badge beside it — they measure different things. Store counts here include archived stores, so they run higher than Locations and higher than Ambassador supply, which counts only stores switched on for sampling.
Ambassador supply
Where ambassadors have said they will work, against what your stores need. Counts the cities each ambassador picked, the radius around a verified address, and — where we have no address — the city on their profile.
Zoom in to see ambassador reach
Location leads are not on your plan
Your ambassadors cannot submit shops, and there is nothing to review here. Leads add a referral queue to Retail and let you pay a fee you set when a submitted shop becomes a stockist. Talk to your account manager to switch it on.
Leads are admin-only
These rows carry your private notes on each shop and the referral fee each one can earn. Your role can see that leads exist, but not open or promote them. A brand admin can change this from Users.
There is nothing to click to turn a lead down. A shop you decide against simply stays here — it costs you nothing and nobody is told. Addresses cannot be edited: what you see is the wording the ambassador affirmed, and it is the evidence if a fee is ever disputed.

Cascades to member stores unless a location overrides it.
How many samplings a month each store in this chain should get. Cascades to member stores unless a location overrides it. Leave blank to use the brand default.
This is a goal, not a limit — it is never enforced. 0 means aim for none, and reads as no demand on the Geography ledger; blank inherits the brand default. To actually stop bookings here, set a limit of 0 below.
These are enforced: a tasting that would exceed either limit is refused when it is created, moved, or promoted from the Schedule Builder. A weekly limit is not the same as a monthly one — 4 a month still allows 4 in one week.

Report Builder
This is the form Brand Ambassadors fill in after a tasting. General questions are asked once; per-product questions repeat for every product sampled. Admin / Super Admin can edit; managers review read-only.
Advanced JSON— read-only mirror
Legacy Uploaded Reports
Keep imported historical report PDFs/CSVs separate from new in-app report results.
Legacy Summary
These rows help seed scoring while the new in-app report dataset grows.
Data Sources
Legacy report PDFs can be uploaded in bulk.
Sync issues
Offline work that reached the app's sync queue but never landed, and that an ambassador may believe went through — stuck or rejected tasting reports, plus the check-ins, check-outs, time-change answers and report photos the server could not apply at all. Use this to tell a technical failure apart from work that was simply never done. Not every failed action appears here: a check-in, check-out, time-change answer or photo the server refused with a stated reason — the tasting was never claimed, was cancelled, or the action arrived out of order — is not listed. Read-only.
Shelf Review
Confirm the AI's shelf reads match what's really on the shelf. When agreement clears the go-live bar, the feature can be switched on for ambassadors.
Event Messages
Review and respond to Brand Ambassador messages tied to claimed sampling events.
Appearance
Company branding, login copy, and ambassador portal appearance settings.
Company & Login Branding
Control the shared login and portal appearance without changing code.
Store locator
Stores with Store locator turned on — and a complete, geocoded address — appear on your public store locator. Sampling does not affect the locator.
Import staff from CSV
Bulk-create internal staff — admin, regional/territory manager, or viewer. Accounts are created but not emailed; send invitations from the list when you're ready. Assign a manager's territory/region scope here after import. (Ambassadors have their own importer; store approvers & distributors come from the location import.)
| Select | User | Role | Scope | Status |
|---|
Choose a user from the list or use Invite user. Roles decide what they can do; account category controls how they enter the app.
Ambassador Onboarding
Configure how ambassadors join this brand — the agreement they sign, how they're paid, and importing an existing roster. Admin only; applies to your active tenant.
Ambassador roster
Bring an existing roster over with light details. Each ambassador finishes a quick onboarding (agreement, bank account, TIN) at their first login. Payout mode now lives on the Billing tab.
Choose a CSV with an email column (plus name, phone, address, and an optional vendor_id Acumatica link). for the full format. Sensitive details (bank account, TIN) are never imported — ambassadors provide those at first-login onboarding. Re-importing the same emails updates rather than duplicates.
Profile photo
Require ambassadors to add a profile photo to finish onboarding. Off by default — the photo stays optional unless you turn this on.
Ambassador agreement
Optional. Upload a PDF/text or paste your IC agreement — if set, every newly invited ambassador must sign it during onboarding (typed name + consent + timestamp). Leave empty for no agreement step.
Guidelines & training for ambassadors
PDFs, images, and video links your ambassadors see in their portal under Materials. Only published resources are visible to them — keep drafts here while you assemble a kit.
Billing
Your plan, trial status, and how this brand pays its ambassadors.
Plan & subscription
Your current plan and billing. Update your payment method, view invoices, and change or cancel your plan in the secure billing portal.
Payouts
How this brand pays its ambassadors — brand-managed or through Longboard. Set during brand setup; this is the only place to change it. It also decides whether ambassadors are asked for bank details during onboarding.
Program
The products, settings, and sampling levels that define what goes into a scheduled sampling.
One kit per brand. When a new ambassador is approved, it's sent to them automatically as a $0 sample order (never charged to the ambassador) — billed per your accounting connector's customer setting. Pick the products and quantities.

Promotional & swag items can't be put on tastings, so “assignable” stays off.

Advanced & reporting
Your location list
Before an ambassador’s submission can be checked against the shops you already sell to, we need to recognise every location on your list — and you need to tell us the list is complete.
Lead submissions
Let your ambassadors submit retail locations that want to carry your brand. They enter the place, we check it isn't already submitted, then they answer your questions below.
Referral fee
What an ambassador earns for a shop they found that becomes a stockist. Nothing is owed when you promote a lead — promoting only adds it to your locations, hidden from your store locator. The fee is earned when you switch that location on for the locator, which is you saying the order happened.
Set 0 to collect leads without paying a per-lead fee.
What ambassadors see
Your words, shown on the submission form. Leave either blank to use ours.
Shown when an ambassador picks a place another ambassador (or you) already has. Be kind here — they did the work and are about to be told no.
The thank-you screen. Don't promise a timeline or a payment here.
Questions you ask
Asked only once the place is confirmed as new — so an ambassador never fills these in for a location that's already on the list. Use them to confirm the ambassador actually went and talked to someone.
Shopify Publishing
Connect the Shopify store, then safely probe the events schema before live publishing is enabled.
Shopify Store Connection
Enter your store domain and connect — that's the whole setup. The app credentials live on the platform and you never touch them.
Publishing
When an event is booked or a store changes, publish it automatically instead of waiting for a manual sync. Only applies when live publishing is allowed (override = Auto or Force on).
Diagnostics (read-only)
Filled by the provisioning engine. Useful when a schema probe fails — copy these into a bug report.

Event image defaults
Use global, event-type, or one-event fallbacks here. Chain images live in Retail Network > Chains so the chain catalog stays the source of truth.
Store locator pin
Upload your own map marker for the public store locator. PNG, JPG, or WebP, up to 256 KB — a square image around 96–128 px works best. Leave empty to use the default Longboard pin.

Posting rules — how Longboard writes to Acumatica
These are Acumatica identifiers. They must match your Acumatica configuration exactly — a value that doesn't exist there fails silently at post time (see a Branch … not found row on the Activity tab). Copy them from Acumatica rather than typing from memory.
Stops all writes and clears stored credentials. Queued requests stay in Longboard; nothing already posted to Acumatica is reversed.
ERP sync jobs
Vendor and material-request syncs to Acumatica, with their status and last error. Retry a failed job or cancel one that shouldn't run.

Ambassador phones
Send each linked ambassador's phone to their vendor contact in Acumatica, so shipments of their sample orders carry it. Only the phone is sent.
Longboard support access
Let the Longboard support team sign in and see exactly what your brand — and any account under it — sees, read-only, to help troubleshoot. Off by default. While it's on, every support view is audited, and you can turn it off at any time.
Store contact notifications
Email each store's main contact when a tasting at their store is confirmed, and a day-before reminder. Off by default — turn it on to honor the "gets tasting notifications" note on the location screen.
Event Message Alert Worker
Monitor and manually process email alerts for Brand Ambassador messages tied to claimed events.
Distributor Summary Controls
Preview customer-safe upcoming tastings, send a test to yourself, manually send one distributor summary, or process the scheduled summary queue.

Approval emails
Group the tasting-approval emails sent to each approver so they get one clear message instead of a flood of separate ones.
Approvals for the same approver created within the batch window are combined into one email. The hold delays that first email so a burst of new tastings arrives together (0 sends right away).

Ambassador applications
One link for every job posting. An applicant watches your intro, verifies their email, records a short video, and lands in your review queue.
Paste this into Indeed, a careers page, anywhere. It keeps working if you rename your brand — the link carries a code, not your name.
Your intro video
The first thing an applicant sees. Tell them who you are and what the job is, then they record their reply. Keep it short — this loads on a phone.
Your acceptance video
Played once you accept an applicant, right before they onboard. Optional — leave it empty and accepted applicants just get the email.
Video retention
An applicant's video is deleted 90 days after they send it, and a recording someone starts but never sends drops after 24 hours. This deletes the file itself, not just our record of it — once it runs, that attempt can no longer be reviewed.
Careers page
The list of cities your Shopify storefront's careers page shows. A city is listed when it has stores you sample and no ambassador covers it on Geography.

Platform Terms & Conditions
Longboard's own platform terms — separate from any brand's ambassador agreement. Every ambassador, on every brand, must accept these once (per person) before they can work. Publishing a new version is immutable and re-prompts everyone to re-accept. There is no edit-in-place.
